We are a boutique U.S.-based marketing and design firm with a growing international footprint and a small, collaborative team in Lisbon. Our accounting operations are U.S.-centric, and we rely on tools like QuickBooks Online, Deel, Monday.com and Google Sheets to keep things running smoothly.

Role Overview

We’re looking for a detail-oriented and dependable Bookkeeper & Office Administrator to support day-to-day accounting functions and general office operations. Reporting directly to the Accounting Manager, the ideal candidate will be comfortable working in a fast-paced, small-team environment where flexibility, multitasking, and collaboration are key.

Key Responsibilities

Bookkeeping & Accounting

  • Categorize and reconcile company expenses in QuickBooks
  • Online Monitor and process incoming bills and receipts received via email
  • Support payroll processing by helping gather and validate timekeeping data
  • Assist with monthly bank and credit card reconciliations
  • Generate basic financial reports in QuickBooks (P&L, expense summaries, etc.)
  • Help maintain vendor records and organize financial documentation

Office Administration

  • Maintain office supply inventory and coordinate orders as needed
  • Handle document filing and record organization (both physical and digital)
  • Assist with meeting coordination and basic calendar management
  • Manage incoming calls and correspondence in a professional manner
  • Support onboarding paperwork and processes for new team members
  • Coordinate with building management and service providers as needed
  • Assist with general office maintenance and organization

Qualifications

  • Recent graduate in Accounting, Finance, or a related field (or equivalent training)
  • 1+ years of experience handling financial transactions, preferably in a business environment
  • Familiarity with accounting tools, especially QuickBooks Online and Google Sheets
  • Working knowledge of Deel or willingness to learn
  • Fluent in English, both written and spoken
  • Strong attention to detail and exceptional organizational skills
  • Excellent multitasking abilities and comfortable switching between different types of tasks
  • Professional communication skills for handling vendor and client interactions
  • Comfortable working under supervision and open to feedback
  • Curious, proactive, and eager to grow professionally
  • Basic proficiency with office technology and systems
